Shared and published

After review, information can be shared for coordination. When authorized for a defined use, it can become published information. The distinction tells recipients what they may safely do with it.

Archive

The archive preserves the history of information exchanges, status changes and approvals. That record matters when teams need to understand what was accepted at a particular point.

Naming, status and revision

Consistent metadata helps people and systems interpret an information container. Naming conventions identify it; status communicates its permitted use; revision distinguishes one issue from another.

Teams should automate these controls where practical, while keeping the rules understandable to everyone who contributes information.
